Keep the conversation moving after the first click.
A form submission should lead somewhere. We build SMS and email workflows that connect inquiries, follow-up, appointments and customer communication, so your team has a clear process for what happens next. From a simple inquiry response to a branching sequence connected to your CRM, we build around your customer journey, consent requirements and the way your team works.
Who it’s for.
- Businesses that get inquiries or quote requests but follow up inconsistently.
- Teams that book appointments and want fewer missed or forgotten visits.
- Companies that send estimates and rarely hear back.
- Businesses with a CRM that holds contacts but doesn't drive the next step.
Problems it can help solve.
- A new inquiry gets no response until someone checks the inbox.
- Follow-up stops after one message, or keeps going after the customer replied.
- Reminders and confirmations are sent by hand, when someone remembers.
- Nobody can see which messages went out or what the customer said.
What a project can include.
Inquiry and quote follow-up
A confirmation when a website inquiry or quote request arrives, and a planned follow-up if it goes quiet.
Appointment confirmations and reminders
Messages that confirm a booking and remind the customer before it, with a way to reschedule.
Estimate follow-up and onboarding
Sequences that check in after an estimate is sent, and onboarding messages once someone becomes a customer.
Permission-based nurture campaigns
Periodic, useful messages for contacts who have agreed to receive them.
Two-way conversations and staff handoffs
Replies reach your team, and a person can take over the conversation at any point.
CRM updates, routing and reporting
Contact and status updates, assignment and notifications, plus reporting on replies and next-step completion.
An example journey.
Illustrative example of how one inquiry can move through a messaging funnel.
- 01
Request
A visitor submits a quote request and chooses their messaging permissions.
- 02
Confirmation
The system sends an appropriate confirmation by the channels the visitor agreed to.
- 03
Assignment
The inquiry is assigned to the right person on your team.
- 04
Adjusts to the customer
Follow-up changes when the customer replies, books or opts out.
- 05
Your team takes over
Your team can see the conversation and step in at any time.
Planning the workflow
Every funnel starts as a map: what starts it, which messages go out and when, what ends it, and who on your team is involved. Triggers are things like a form submission, a booked appointment or a status change in your CRM. Stop conditions matter just as much: a reply, a booking or an opt-out should end or change the sequence.
SMS and email do different jobs. Texts suit short, time-sensitive messages such as confirmations and reminders. Email suits detail, attachments and longer follow-up. We plan which channel carries each step, based on what each contact has agreed to receive.
Example workflows.
Quote request follow-up
Illustrative example: a quote request gets an immediate confirmation, the owner gets a notification, and if the customer hasn't been contacted after a set time, the team is reminded rather than the customer being messaged again.
Appointment reminders
Illustrative example: a booked service visit gets a confirmation, a reminder the day before and a reply option to reschedule, which notifies the office.
Estimate follow-up
Illustrative example: after an estimate is sent, one email checks in a few days later and a staff member is prompted to call if there is still no reply. The sequence stops when the customer responds.
Integration requirements.
- Access to your CRM, scheduling tool or messaging platform, and its API or automation features.
- A messaging provider for SMS with a registered sending number, and a sending domain set up for email.
- Agreement on which system is the record for contacts, statuses and opt-outs.
- Confirmation of what each tool's plan allows before the build starts.
Message approvals and testing.
- You review and approve the wording of every message before it goes live.
- Messages that promise price, timing or scope stay with your team.
- We test each trigger, branch and stop condition with test contacts before launch.
- Opt-out and help keywords are tested end to end, including how they update your records.
Reporting.
- Replies, bookings and other next steps completed from each workflow.
- Opt-outs and failed deliveries, so problems are visible early.
- Where conversations stall or are handed to staff.
Ongoing maintenance.
- Updating messages when services, hours or offers change.
- Adjusting timing and branches based on what the reporting shows.
- Keeping integrations working when connected tools change.
How we work.
Discovery
We map how inquiries and appointments move today, which tools are involved, what customers have agreed to receive and where follow-up breaks down.
Design
We design the triggers, messages, branches, stop conditions and staff handoffs, and you approve the wording.
Development
We build the workflows, connect them to your forms and CRM, and test every path with test contacts.
Review
We launch, review replies and reporting with your team and adjust timing and messages as needed.
What affects scope, pricing and timing.
- The number of workflows and how many branches each one has.
- Whether SMS, email or both are involved.
- The CRM, scheduling and messaging tools to connect.
- Reporting needs and how often the messages change.
Limitations and dependencies.
- SMS requires customer consent and, for business texting from standard local numbers in the US, an A2P 10DLC registration through your messaging provider.
- Message delivery depends on carriers, email providers and the recipient's settings.
- Provider and platform fees are separate from our work.
- What can be automated depends on each connected tool's API, plan and terms.
Common questions.
Can you connect our existing CRM?
Often, yes. We review your CRM's API and automation features first and confirm what can be connected before we plan the build.
Can SMS and email work together?
Yes. A workflow can use texts for short, time-sensitive steps and email for detail, based on what each contact has agreed to receive.
What happens when a customer replies?
The reply reaches your team, and the workflow pauses or changes so the customer isn't sent the next automated step as if nothing happened.
How do you prevent unnecessary follow-up?
Each workflow has stop conditions, such as a reply, a booking or a status change in your CRM, and limits on how many messages go out.
How are opt-outs handled?
Opt-out requests, such as replying STOP to a text or unsubscribing from an email, stop further messages on that channel and are recorded in your system.
Do we need A2P 10DLC registration?
If you send business texts in the US from a standard local number, your messaging provider will generally require A2P 10DLC registration. We can help with that as part of the project.
Can our team take over a conversation?
Yes. Staff can see the conversation and reply directly, and the automated sequence stops once they do.
